All requests for use of TEXO’s Dallas Conference Center & Fort Worth Office must complete the following form. Once the form is completed and submitted, TEXO staff will be notified and will review your request specifications.

Use of TEXO’s facilities is on a first-come, first-served basis – your space is NOT guaranteed until this completed form has been submitted and the request has been approved by TEXO. You will be notified of availability within 24 hours of your request.

The room rental fee is waived for TEXO Members. Associations or non-members that would like to use the facility will be charged the following rates per room, per day:

  • Raleigh K. Roussell (RKR) Conference Room – $500
  • Lecture Hall – $750
  • Collaboration Room 1 ONLY – $500
  • Collaboration Room 2 ONLY – $500
  • Collaboration Rooms 1 & 2 – $1,000
  • Fort Worth Training Room – $750
  • Fort Worth Board Room – $500

Renters using the facility outside of TEXO’s business hours of 7:30am – 4:30pm will be responsible for opening and closing the facility. This includes securing the building by turning off projectors and lights, setting the alarm, and making sure all doors are closed and locked. Necessary information and instructions will be provided to the contact person prior to the scheduled event/class.

Additional fees may apply for excessive cleaning, specialty room layout setups, or additional audio/visual needs (see below for more information). Specifically, a $150 reset fee will be assessed if excessive cleaning or resetting the room layout is required by our cleaning crew. To avoid this fee, please be sure to leave the room as you found it – clean and in the room layout you came in to.

If your request is approved and any fees associated with the use of the facility are deemed applicable, an invoice will be sent to the contact person listed on the form. Any fees must be paid prior to use by credit card, cash, or check. Credit card payments may be made online. Checks may be dropped off at the office or mailed to TEXO at the below address. Cash payments must be made in person at TEXO’s office at the below address.

Cancellation of your event/class requires a 72-hour notification for a full refund of any applicable fees. You will receive a 50% refund if notification is received within 48 hours. No refund will be issued the day of the event/class.
